List models and recipients separately.
For a mixed event, record each model, size and quantity. Add a separate recipient or engraving list where wording varies. Keep extra trophies identifiable so the supplier can quote the actual allocation.
State the dates that matter.
Give the date required for checking and sorting as well as the event date. Include the delivery location and receiving contact. Current product availability and delivery arrangements must be confirmed for the order.
Keep a repeat-order record.
Save the approved model, chosen variant and artwork reference after confirmation. A later top-up should still be checked for current availability and specification. Do not assume that a similar-looking trophy is interchangeable with a previous model.
